How Canopy Digital collects, uses, and protects your information. We believe transparency isn't optional — it's the foundation of trust.

When this policy says "Canopy Digital," "we," or "us," we mean Perfect Sites LLC. We're the legal entity responsible for all data processing under this policy.
2. What Information We Collect
2.1 Information You Provide Directly
- Account information — name, email address, phone number, business name, and payment details when you sign up
- Business profile data — location details, service descriptions, hours, and other information about your business you share with us
- Communication content — emails, support messages, and any other content you send through our platform
- Review request data — customer names, phone numbers, and email addresses you provide to send review requests on your behalf
2.2 Information Collected Automatically
- Usage data — pages visited, features used, time spent, and interaction patterns within the platform
- Device & browser data — IP address, browser type, operating system, and device identifiers
- Cookies — session tokens, preferences, and analytics data (see Section 8)
2.3 Information From Third Parties
We receive data from the following third-party services you connect to Canopy Digital:
- Google (Google Business Profile OAuth) — your business listing data, reviews, ratings, and business insights
- Facebook/Meta (Facebook OAuth) — your Facebook Page data and the content we post on your behalf
- Stripe — transaction records, subscription status, and billing information
- Brevo — SMS delivery status and receipt confirmations for review request messages
3. How We Use Your Information
We use your data to provide, maintain, and improve the Canopy Digital service. Specifically:
- Delivering our core services — running SEO audits, generating and publishing content, managing social media, sending review requests, and reporting analytics
- Account management — processing payments, sending billing receipts, and communicating about your account
- SMS delivery — using Brevo to deliver review request text messages to your customers on your behalf
- Customer support — responding to your questions and troubleshooting issues
- Service improvement — understanding how users interact with the platform so we can make it better
- Security — detecting and preventing fraud, abuse, and unauthorized access
- Legal compliance — meeting our obligations under applicable law
We never sell your personal information or your customers' personal information to third parties.
4. OAuth & Third-Party Service Integrations
Canopy Digital integrates with third-party platforms to deliver our services. Each integration is governed by that platform's own terms and privacy policy.
Google Business Profile
When you connect your Google account via OAuth, we access your Google Business Profile data including business information, reviews, ratings, and insights. We use this data to:
- Display your review data in your Canopy Digital dashboard
- Monitor your business listing health
- Generate review response suggestions

Facebook / Meta
When you authorize Facebook OAuth, we can read your Facebook Page data and post content on your behalf. This means:
- We read your page info to understand your current content
- We post status updates, images, and other content as directed by you or our AI engine
- We may access engagement metrics (likes, comments, shares) to report performance
You can revoke our Facebook access at any time from your Facebook App Settings. Revoking access will stop future posting but will not delete content already published.
Stripe (Payments)
Payments are processed by Stripe, Inc. We receive transaction metadata (amount, plan, date) but not your full card number. Stripe's privacy policy applies to payment processing: stripe.com/privacy
Brevo (SMS)
We use Brevo to deliver SMS messages. Phone numbers you provide for review requests are transmitted to Brevo solely for the purpose of delivering those messages. Brevo's privacy policy applies: brevo.com/legal/privacy
5. Data Storage & Security
Your data is stored on servers in the United States. We use industry-standard security measures including encryption in transit (TLS) and encryption at rest for sensitive data including OAuth tokens.
We limit access to your data to employees and contractors who need it to provide the service. All access is logged.
While we use reasonable security measures, no internet transmission is 100% secure. If you believe your account has been compromised, contact us immediately at joe@keepyoucovered.com.
6. Who We Share Your Data With
We share data only in these limited circumstances:
- Service providers — trusted third parties who help us run the service (hosting, analytics, SMS delivery, payment processing). These providers are contractually bound to use your data only as instructed by us
- Your social platforms — content you direct us to post is published to your connected Facebook Page or other platforms as instructed
- Legal requirements — when required by law, court order, or governmental authority, or when necessary to protect our legal rights
- Business transfers — if Canopy Digital is acquired or merged, your data may transfer to the new entity under the same privacy protections
We do not sell, rent, or trade your personal information.
7. Data Retention
We retain your data for as long as your account is active and for a period afterward as needed for legal compliance, fraud prevention, and service improvement purposes.
- Account data — retained while account is active; deleted within 30 days of account closure upon request
- OAuth tokens — deleted within 30 days of disconnection or account closure
- Billing records — retained for 7 years to meet tax and accounting obligations
- Support communications — retained for 2 years
- Usage analytics — anonymized and aggregated after 26 months
8. Cookies & Tracking
We use cookies to operate the service and understand how visitors use our platform.
Essential Cookies
Required for the platform to function — authentication tokens, session management, and security cookies. These cannot be disabled without breaking the service.
Analytics Cookies
We use first-party analytics to understand how visitors use the platform so we can improve it. This data is aggregated and anonymous.
Third-Party Cookies
Third-party services we use may set their own cookies:
- Stripe — for secure payment processing
- Google Fonts — for font delivery
You can control cookies through your browser settings. Disabling cookies may affect platform functionality.
9. Your Rights Under the CCPA (California)
If you are a California resident, you have the following rights:
- Right to Know — request a copy of the personal information we have collected about you (categories, sources, purpose, and third parties)
- Right to Delete — request deletion of your personal information, subject to certain exceptions
- Right to Opt Out — opt out of the sale of your personal information (we do not sell personal information)
- Right to Non-Discrimination — we will not discriminate against you for exercising your rights
To exercise these rights, email joe@keepyoucovered.com with "CCPA Request" in the subject line. We will verify your identity before processing your request.
10. Your Rights Under the GDPR (European Users)
If you are located in the European Economic Area, you have the following rights:
- Right of access — request a copy of your personal data
- Right to rectification — request correction of inaccurate data
- Right to erasure — request deletion of your data ("right to be forgotten")
- Right to restrict processing — request that we limit how we use your data
- Right to data portability — receive your data in a machine-readable format
- Right to object — object to processing based on legitimate interests
- Right to lodge a complaint — file a complaint with your local data protection authority

Data Protection Officer: You can reach our privacy team at joe@keepyoucovered.com. We are not required to appoint a DPO under current thresholds, but our team handles all privacy inquiries.
11. Changes to This Policy
We may update this policy from time to time. If we make material changes, we will:
- Update the "Last updated" date at the top of this page
- Post a notice on our platform for 30 days before material changes take effect
- Email registered users at least 14 days before material changes take effect
Continued use of Canopy Digital after a policy update constitutes acceptance of the updated terms.
